Exhibitor Terms and Conditions

Collab Developments Limited Trading as Tiny House Expo

Conditions of Entry 

All ticket holders could be required to show ID to enter the event .

This contract is a commitment to exhibit with non-refundable payments. This application for Space becomes an official Agreement when accepted by payment of invoice by an agent of my Company. The use of “My”, “You”, “Your” or “We” means You or Your Company for which. We, as an exhibitor, agree to the following statements:

  • Spaces may not be re-sold, transferred or assigned. Only the company invoiced by Tiny House Expo may exhibit the products and services it sells in the Space.

  • You are responsible for Your Space, the material that You ship to and from the Expo and the material in Your Space. Consequently, you should have appropriate insurance.

  • The producer of the Expo, Collab Developments Limited (“Tiny House Expo”), reserves the right to reject, eject or prohibit any exhibit in whole or in part, with or without giving cause. Expo liability for rejection without giving cause shall be limited to a refund to You of the amount of fees unearned at the time of ejection. However, if You or Your exhibit is ejected for violation of these rules or for any other stated reason (with cause), no return of fees will be made.

  • You are expressly forbidden from dismantling or packing any portion of Your exhibit Space prior to the official Expo closing time. Spaces must be left clean and tidy. Violations may result in disqualification from participation in future Expos.

 

Fees

If You do not pay Your invoice in full by the due date, you will be barred from entry and your Expo space may be reassigned.

Agreements without payment will not be processed, without exception. Methods of payment include direct bank deposit.

Payments, are non-refundable and non-creditable.

Additional Space will be sold at the market price in effect at the time of purchase.

Collab Developments Limited reserves the right to treat Your downsizing of Space as a cancellation of the original space and purchase of new Space. You may be required to move to a new location if You request a downsizing of space. Any reduction in Your Space size may result in a loss of any volume-based discounts previously applied.

Refunds, exchanges.

 Collab Developments Limited will only offer a refund or exchange of a booked site if an event is cancelled. You must apply for a refund within a reasonable time. Collab Developments Limited does not offer refunds or exchanges as a result of a change in your personal circumstances.

Space Assignments

Tiny House Expo floor plans will be made available to 1 week prior to the event. You agree that Tiny House Expo in its sole discretion has the final say concerning the layout of the Tiny House Expo floor. You also agree that Expo has the right to relocate exhibitors for any reason.

Expo Program Directory and Promotion

Your listing(s) will appear in the Tiny House Expo directory on our website based on information you furnish now and in the future. The deadline for information and image(s) (company logo) is 60 days before the Event. Tiny House Expo is not responsible for errors or omissions in directory listings (no refunds or credits will be issued).

Fire and Safety Regulations

Health & Safety regulations must be strictly observed. Cloth decorations must be flameproof. Smoking onsite is forbidden. Crowding will be restricted. Exhibits cannot block aisles or fire exits.

Visual and Audio Recording Rights

All visual and audio recording rights before, during and after the Expo are reserved to Tiny House Expo or its affiliates. Any displayed item within Your Space may be recorded by Tiny House Expo or its affiliates for future use. Your Space, exhibit and personnel may be recorded by Tiny House Expo or its affiliates before, during or after the open hours of the Tiny House Expo for any Tiny House Expo or its affiliates uses.

Outside Exhibits/Hospitality Suites

Without express written approval from Tiny House Expo, you may not display products/services and/or other advertising material in areas outside Your Space such as, but not limited to, car parks, lounges, corridors, etc. You may not conduct unauthorized facility tours. 

Listings and Promotional Materials

By exhibiting at the Tiny House Expo, you grant to Tiny House Expo or its affiliates a fully paid, perpetual non-exclusive license to use, display and reproduce Your name, trade names and product names in any directory (print, electronic or other media) listing Your Company at the Tiny House Expo and to use such name in Tiny House Expo or its affiliates promotional materials. Tiny House Expo shall not be liable for any errors in any listing or descriptions, or for omitting You from the Tiny House Expo program or other lists or materials. Tiny House Expo management reserves the right to edit and/or delete Tiny House Expo program submissions. Companies not current with payment will not be included in the Tiny House Expo program.

Space Furnishings

Each Space will be indoors (unless otherwise agreed) on a concrete floor. It is up to each exhibitor to furnish their space. Electricity, and furniture is available at additional costs. 

Displays and Decorations

Merchandise, signs, decorations or display fixtures shall not be pasted, taped, nailed or tacked to any other spaces at the venue except your paid exhibitor space, etc. No Exhibit, merchandise or equipment shall be left in any aisle, but shall be confined to Exhibit Space. No signs or advertising devices shall be displayed outside Exhibit Space or projecting beyond limits of Exhibit Space as to interfere with any neighbouring Exhibit. Vertical space directly above the Exhibit space may be used within reason subject to the final approval of Tiny House Expo.

Assumption of Risks; Releases

You expressly assume all risks associated with, resulting from or arising in connection with Your participation at the Tiny House Expo, including, without limitation, all risks of theft, loss, harm, damage or injury to the person (including death), property, business or profits of exhibitor, whether caused by negligence, intentional act, accident, act of God or otherwise. You have sole responsibility for Your property or any theft, damage or other loss to such property (regardless of whether stored in any courtesy storage area), you waive any subrogation claims that Your insurer may have. Neither Tiny House Expo nor the exhibit facility accepts responsibility. Neither Tiny House Expo nor the exhibit facility shall be liable for, and You hereby release all of them from and covenants not to sue any of them with respect to any and all risks, losses, damages and liabilities described in this paragraph.

Indemnification

You shall indemnify, defend (with legal counsel satisfactory to Tiny House Expo), and hold Tiny House Expo, its affiliates, and the exhibit facility harmless from any claims, demands, suits, liabilities, damages, losses, costs, reasonable attorneys’ fees and expenses which result from, or arise out of or in connection with: (a) Your participation or presence at the Tiny House Expo; (b) any breach by You of any agreements, covenants, promises or other obligations under this contract; (c) any matter for which You are otherwise responsible under the terms of this contract; (d) any violation or infringement (or claim of violation or infringement) of any law or ordinance or the rights of any party under any patent, copyright, trademark, trade secret, or other proprietary right; (e) any libel, slander, defamation or similar claims resulting from Your actions; (f) harm or injury (including death) to You; and (g) loss of or damage to Your property, Your business, or Your profits, whether caused by negligence, intentional act, accident, act of God, theft, mysterious disappearance or otherwise.

Event Date or Location Change

The location, timing, format, purpose, and all other aspects of the event are determined at the sole discretion of Collab Developments Limited. Tiny House Expo may change any aspect of the event, including without limitation the location, timing, format date, and purpose, where it considers it is reasonably necessary to do so.

Limitation of Liability

Except as set out above, Tiny House Expo is not responsible for any loss or damage or illness as a result of a substitution, alteration or cancellation/postponement of an event. Tiny House Expo shall assume no liability whatsoever in the event this event is cancelled, rescheduled or postponed due to a fortuitous event, Act of God, unforeseen occurrence or any other event that renders performance of this event impracticable, illegal or impossible. For purposes of this clause, a fortuitous event shall include, but not be limited to: war, fire, labour strike, medical pandemic, extreme weather or other emergency.

Any displayed item within Your Space may be recorded by Tiny House Expo or its affiliates for future use. Your Space, exhibit and personnel may be recorded by Tiny House Expo or its affiliates before, during or after the open hours of the Tiny House Expo for any Tiny House Expo or its affiliates uses.

Qualifications of Exhibitor

Tiny House Expo, in its sole discretion, determines whether a prospective exhibitor is eligible to participate in the Tiny House Expo. Eligibility is generally limited to those who are in good standing with Tiny House Expo and current in payment of charges invoiced by Tiny House Expo. Tiny House Expo reserves the right to restrict or remove any exhibit which Tiny House Expo, in its sole discretion, believes is objectionable or inappropriate.

Observance of Laws

You shall abide by and observe all NZ laws, bylaws, rules and regulations, and all rules and regulations of the exhibit facility (including any labour work rules).

Privacy Policy

Collab Developments Limited (we, us, our) complies with the New Zealand Privacy Act 2020 (the Act) when dealing with personal information.  Personal information is information about an identifiable individual (a natural person).

This policy sets out how we will collect, use, disclose and protect your personal information.

This policy does not limit or exclude any of your rights under the Act.  If you wish to seek further information on the Act, see www.privacy.org.nz.

 

Changes to this policy

We may change this policy by uploading a revised policy onto the website.  The change will apply from the date that we upload the revised policy.

Who do we collect your personal information from

 

We collect personal information about you from:

  • you, when you provide that personal information to us, including via the website and any related service, through any registration or subscription process, through any contact with us (e.g. telephone call or email), or when you buy or use our services and products

  • third parties where you have authorised this or the information is publicly available. 

If possible, we will collect personal information from you directly.

We will use your personal information;

  • to verify your identity

  • to provide services and products to you

  • to market our services and products to you, including contacting you electronically (e.g. by text or email for this purpose)

  • to improve the services and products that we provide to you

  • to undertake credit checks of you (if necessary)

  • to bill you and to collect money that you owe us, including authorising and processing credit card transactions

  • to respond to communications from you, including a complaint

  • to conduct research and statistical analysis (on an anonymised basis)

A business that supports our services and products may be located outside New Zealand.  This may mean your personal information is held and processed outside New Zealand.

We will take reasonable steps to keep your personal information safe from loss, unauthorised activity, or other misuse.

Subject to certain grounds for refusal set out in the Act, you have the right to access your readily retrievable personal information that we hold and to request a correction to your personal information.  Before you exercise this right, we will need evidence to confirm that you are the individual to whom the personal information relates.

In respect of a request for correction, if we think the correction is reasonable and we are reasonably able to change the personal information, we will make the correction.  If we do not make the correction, we will take reasonable steps to note on the personal information that you requested the correction.

While we take reasonable steps to maintain secure internet connections, if you provide us with personal information over the internet, the provision of that information is at your own risk.

We use cookies (an alphanumeric identifier that we transfer to your computer’s hard drive so that we can recognise your browser) to monitor your use of the website.  You may disable cookies by changing the settings on your browser, although this may mean that you cannot use all of the features of the website.
